Rental property expenses for taxes: the Schedule E categories
Come tax season, a rental property produces one question per expense: where does this go? The form that answers it is Schedule E (Form 1040), the page where rents received and rental expenses are reported. This guide walks its categories so you can keep your records in the same shape all year. Organization, not tax advice — your tax preparer makes the calls for your situation; this page just keeps the shoebox sorted.
The income line
- Rents received (line 3) — the rent you actually collected during the year, per property.
The expense lines (5 to 19)
- Advertising (line 5) — listing and advertising costs for finding tenants.
- Auto and travel (line 6) — driving and travel for the property, with records.
- Cleaning and maintenance (line 7) — cleaning between tenants, yard work, upkeep that is not a repair.
- Commissions (line 8) — amounts paid to others for renting the property.
- Insurance (line 9) — premiums for the property.
- Legal and other professional fees (line 10) — legal and professional help for the rental activity.
- Management fees (line 11) — what a property manager charges you.
- Mortgage interest paid to banks, etc. (line 12) — the interest portion only, as reported by the lender.
- Other interest (line 13) — interest that is not mortgage interest paid to banks.
- Repairs (line 14) — fixing what broke, keeping the property as it was.
- Supplies (line 15) — the small stuff the property consumes.
- Taxes (line 16) — property taxes for the rental.
- Utilities (line 17) — water, power, gas, trash that you pay for the property.
- Depreciation expense or depletion (line 18) — worked out with your preparer; this is the line most owners should not improvise.
- Other (list) (line 19) — anything real that fits no line above, listed in words.
Line 20 is the total. The habit that makes tax season short: every expense enters your records already wearing its Schedule E category, dated, with the property named. Twelve months of that is a summary your preparer can lift straight onto the form.
